Hello, today I’m excited to walk you through the invoicing capabilities of the QuoteMachine and Shopify integration.
The invoices displayed here can originate from multiple sources. You might be creating them directly on the Shopify POS app using the ‘Create Invoice’ button, or directly within QuoteMachine. Each invoice displays its status—whether it’s waiting for payment, partially paid, or fully paid—alongside the outstanding balance.
At the top, you’ll find various filters to help sort through the invoices, a returns tab, and an aging report to track outstanding amounts.Let’s dive into creating a new invoice. After selecting an existing customer, you can set specific payment terms. Adding a product to the invoice is straightforward; simply select the desired items. You’ll notice the option to edit item prices, apply discounts per line item, or apply a discount to the total invoice amount. Additionally, you can add specific fees as a percentage of the total invoice or adjust the tax rate if it deviates from your standard.
Creating an invoice offers flexibility, even allowing for item grouping on longer invoices. You can also input a PO number and adjust the billing or shipping address of your customer as needed.
Before sending, clicking on ‘Edit Design’ provides a preview of the invoice layout. Here, you can make changes or select a different document template. Once satisfied, sending the invoice to your customer is as simple as clicking ‘Send Invoice’. The system confirms when the invoice is sent and tracks when the customer opens it. Customers can easily proceed to checkout from the invoice they receive.
Back in our internal view, the invoice status will automatically update once the customer completes the payment.
