How to create quotes in Shopify

In this quick guide, we’ll explore the process of creating quotes with QuoteMachine, focusing on the Shopify integration. Whether accessing QuoteMachine directly from your web browser or through the Shopify apps tab, the workflow is designed for ease and efficiency.

Once you’re in the quote section within QuoteMachine, you’ll find a list of all your quotes where you can quickly check the status of each—whether it’s a draft, approved, turned into an invoice, or if any deposit has been received. You can easily sort quotes by salesperson, customer, location, or any custom criteria you’ve set up.

Creating a New Quote

Quote Generation: The process begins with the option to create a new customer profile, which will instantly sync with Shopify, or choose an existing one. Note that if your Shopify store has a quote cart set up, it will automatically create contact profiles in both platforms any time prospects request a quote online.

Customization: As you build your quote, you can update the billing or shipping addresses, fill in any custom fields if you set any up and view your live Shopify inventory to add desired items to the quote.

Fine-Tuning Your Quote

Adjustments: Before sending out your quote, you can adjust your required deposit, item descriptions and apply discounts to individual line items or to the total quote amount.

Discounts: Implementing a discount is straightforward. You can name your discount and specify it as a dollar amount or percentage. You can also set default discounts under specific customer profiles, so discounts automatically apply to their purchases

Deposit: Deposits can be taken as percentages or a fixed dollar amount. You can set universal account default for required quote deposits or specific ones for individual customers and it will automatically get applied to the sale. You have the flexibility to change required deposits during the sale if needed.

Review and Send

Preview: You can review how the quote will appear to your customer and use the ‘Edit Design’ option to make last-minute adjustments to the template or choose a different template if you wish to.

Sending: Once ready, you can send the quote directly to your customers through email or SMS with a personalized message. Upon sending, you’ll be notified when the customer receives and opens your email.

Post-Sending Actions

Tracking and Modifications: Use built-in analytics to track how customers engage with your quote, such as time spent on the quote or frequency of opens. You have the flexibility to create a new quote version or edit the existing one to have it automatically update for the customer.

Next Steps: When ready, converting it to an invoice is just a click away and it will transfer all details from the quote directly to the invoice, including any deposits made by the customer.

Tutorial : How to Create Quotes with Shopify Integration Using QuoteMachine

In this short video, I’m going to focus on creating quotes in QuoteMachine with the Shopify integration. So, I’m directly in QuoteMachine here, looking at quotes. But as you may have seen before, you could also work in Quote Machine directly from your Shopify apps tab. Here, I’m in quotes right away. I can see all of the quotes I have created, I see their status, as well as this symbol which is showing me that I’ve taken a deposit on that quote.

Let’s make a new quote. Here, I have the option of creating a new customer on the spot, which will also get created in Shopify. If not, I can choose an existing customer. Now, when I’m building my quote, I have the option of changing the billing or shipping address of the customer, adding in information into any of the custom Fields I have created. And then, when I scroll down, I’m going to see my inventory. So, I can go ahead and add the desired items onto my quote. Let’s put on a few simple items here.

Now, before I send out this quote, I have options such as changing the prices for the item, editing the description of the item, as well as applying discounts onto either individual line items by clicking directly here, or applying a discount onto the total right here. So, let’s say something like “custom discount.” We can give it a quick name, and we’ll say it’s $200. We have the option of entering that in as a dollar amount or a percentage.

Before I send out my quote, I can double-check some of my options here, such as any taxes, the amount of deposit I want to be asking for on the quote. And then, my last step is just confirming how this quote will look to my customer. I’ll click “edit design,” which gives me a preview of the quote and allows me to make any on-the-spot changes here. So, if I toggle and get this little add button, I can click add, say, add in more photos, more text, whatever might be necessary on this particular quote.

When this is ready to go, I can simply click “Send quote” and email that directly to my customer. I’ve got the option of editing my message here that they’ll see in their email before they open up the quote. And then, I click “Send now.” So, this quote has been sent to my customer. They’re going to receive it in their email address. When they eventually open it up and apply the payment, I’ll get a notification of that here, saying the quote has been opened and hopefully accepted.

Now, when I scroll down on this page, we can see some detailed information, such as if the customer has opened it, if my email has been correctly sent, and I’ve got some options here, such as creating a new version of the quote if I wanted to make some changes and send them a new copy. I could also edit and make some changes to the quote I already sent them, without needing to resend it. I would click on “edit design.” I could change a price here, and the copy they’ve been sent will be automatically updated.

When you’re ready to move on to your next step, you simply need to click “One.” Clicking “one” will allow us to move on to the orders step or the invoice step. Thank you.
